FAQs

Frequently Asked Questions

A document management system (DMS) focuses primarily on the management of electronic documents within an organisation. It includes functions such as capturing, storing, organising, searching, securing and releasing documents during their lifecycle.

An enterprise content management system (ECM), on the other hand, encompasses more of an organisation’s content: it is not just about managing documents, but also images, videos, emails, web content and more. ECM offers functions such as workflow management, records management, business process management and compliance management.

Digital document management refers to the management of electronic documents within a company. This includes capturing, storing, organising, securing, releasing and managing documents from the first draft through to audit-proof archiving.

OneDrive is intended more for personal data storage and sharing, while SharePoint is primarily used as a collaboration platform.

Companies of all sizes and from any industry can use a DMS if they want to organise and/or optimise their document-based processes. Even small companies can benefit from the significantly more efficient processes and potentially see an unexpectedly rapid amortisation of investment costs.

If documents are organised digitally, they can be saved automatically with metadata, filed intelligently, versioned or released with specific rules. This makes searching for specific documents extremely efficient and much easier than in paper form, for example. Documents are immediately available in the right context.

In addition, short-term backup when processing documents and the long-term storage required by law play a major role: with the right e-archive, all documents can be stored in an audit-proof and therefore legally compliant manner. SharePoint, for example, is a good choice here.

In addition, adherence to compliance guidelines and the reduction of paper consumption and archiving costs are among the most important benefits.

SharePoint is a web-based platform from Microsoft that is used for collaboration, document management and information exchange. Users can save documents, edit them in parallel, create and exchange task lists and information. Accordingly, the central functions are project management and document management with SharePoint.

The main advantage of the SharePoint DMS is the comprehensive functions for collaborative editing of documents and information. The centrally stored documents can be edited in real time, all changes are automatically synchronised and continuously saved. Of course, there is seamless integration with all other Microsoft products, such as the widely used Office suite. This makes it easy to implement work processes across several productivity tools. In this context, the term Microsoft document management or Microsoft 365 document management (formerly Office 365 DMS) is often used.

There are server-based systems, cloud-based systems, open source systems and specialised industry solutions. The choice depends on a company’s requirements and preferences.
